Export everything
Every record and every document your company holds, in one zip you keep. Two clicks, then a short wait for the email.
The short version
On the billing page, click Export my data. Dayboard builds a zip in the background (every record as a spreadsheet, every document in a folder tree, a PDF of every submitted form) and emails you when it's ready. Sign in as an admin and click Download the zip. It works any day you like, whether you're staying or going.
-
Open Billing (click Settings in the sidebar and pick the Billing tab; Settings is under More on a phone) and find the Export everything panel.
One panel, one button. As the page puts it: yours to keep, whether you stay or go. - Click Export my data. (If you've exported before, the button reads Build a fresh export.) The page confirms: "Building your export. We will email you when it is ready." A big account can take a few minutes; you can close the page and get on with your day.
- Watch for the email. It tells you how many records and documents are in the file and how big it is, and links you back to the billing page. The link never goes straight to the file: downloading always needs an admin signed in, so a forwarded email can't hand your company's records to anyone.
- Click Download the zip. Back on the billing page, next to the link you'll see the record count, the document count, the size, and the date it's available until.
-
Open the zip and check what's inside.
- Every record as a spreadsheet, one CSV per kind of thing: jobs with their value, the variations and invoices recorded against them and your internal notes on them, your quotes with every revision, their prices line by line (GST shown separately), their notes and their history, bookings, people, clients with their representatives and the notes against them, machines and their meters, meter readings, service records, your machine types, your people's competencies and inductions and the competency codes and standard inductions behind them, your subcontractors' insurances, form templates and submissions (with what each form mentions), timesheets week by week and day by day with every approval and correction, your kinds of leave and allowances, notifications with their acknowledgement trail, your non-working days and holidays, invoices and any credit notes against them, documents (each job's purchase order marked as one) and more. They open in Excel, and they use readable names: a booking names its job and its resource, not just an ID, and a competency names the ticket rather than a code you'd have to look up.
- Every document in a folder tree, named after the job, quote, job invoice, resource, library section or person's week it was attached to.
- A PDF of every submitted form, one per submission, alongside its answers in the spreadsheets.
- A PDF of every tax invoice and credit note, under
documents/billing/, the same documents that were emailed to you, ready to hand to your bookkeeper. - Your company logo, as
company-logo.pngor.jpgat the top of the zip, if you uploaded one. Your company details (address, phone and email) are incompany.csvalongside it. - A README explaining how the files fit together.
Worth knowing
- The file lasts seven days, then it's deleted. That's deliberate: a complete copy of your company's data shouldn't sit on a server forever. Make a fresh one any time, as often as you like.
- It works on a frozen or cancelled account. Trial lapsed, card failed, subscription cancelled: the export button still works, because getting your data out matters most exactly then. Easy exit is the promise on our front page, and this button is that promise.
- The paper trail stays whole. Deactivated people, archived posts and deleted documents are all in the file with their timestamps, because a safety record with the awkward parts removed wouldn't be a record.
- Your filing comes with it. Every document says which folder it sat in and, where it was evidence for something, what it was filed against: the ticket it proves, the service it paid for or the insurance it's the certificate for, by name.
- Sample data stays out. If the practice dataset is still loaded, none of it lands in your export.
- One export builds at a time. Ask again after the current one finishes.
